Adding order records to new bib records

 

  • After bib records are exported into Millenium, you must create an order record attached to the bib.
  • Under the "summary" tab, change the "view" drop down menu to "order." 
  • You then "attach new order" and proceed through the prompts.
  • Select the "medord" (middle) template and uncheck all options regarding quing purchase orders and using todays date as order date.  Use the order date from any order sheets in hand as the order date.
  • Type in the vendor code (if you don't know vendor code you can double click in the field and will be taken to a search page.)
  • All codes can be changed by double-clicking in the entry field and selecting from a list of item types and locations.  You can then either scan or type in barcode number and volume number, if any.
  • In your final checks, make sure that all location codes, in the bib fixed field section and the item type, reflect where that item is supposed to end up.  In the bib, the code is simply the campus code ("b" for Buffalo, "a" for Amherst, and "r" for Rochester)  The items must be coded with the specific location code ("bpop" for Buffalo Popular, "bnfi" for Buffalo General Collection -- non fiction, etc.)  

 

 

Transferring Attached Records from one Bib to another (Page # 105207 in the IGR manual)

 

To transfer attached records, you must be authorized for function 10 (Transfer attached records).

 

  1. Retrieve the bibliographic record that is attached to the records you want to transfer.

  2. In the Summary tab, choose the records you want to transfer by selecting their check boxes.

    Choose All Record Types to select all the attached records.

  3. Choose Edit | Transfer attached | Find Bib.

    The Select destination bib window opens.

  4. In the Select destination bib window, retrieve the destination bibliographic record.

  5. In the Summary tab of the destination bib, choose Use Bib.

    If the source bibliographic record has no title-level holds, you will be asked if you want to transfer the attached records and retain or delete the source bib. Select the appropriate radio button and choose OK.
